SUMMARY:

The Facilities Building Operations Manager reports directly to the LuSBP General Manager and is responsible for managing Facilities Support Services and Building Operations.  This individual will work proactively with the business group leaders, finance and internal partners to align with business and operations requirements and will be responsible for achieving measurable year-over-year improvements in quality, service, and business satisfaction. The manager must be a strong leader and a team player, that thrives in a fast-paced environment

 

ESSENTIAL FUNCTIONS:

  • Provides leadership and management to all site Support services and Building operations in the Facilities area of responsibility including implementing a communication strategy and a customer service focus for Facility building operations and services that lead to the continuous improvements. This requires cross training in all aspects of each department.
  • Coordinates managerial and administrative support for planning, budgeting and financial resources for all facilities departments as directed by Facilities director and Site Head. Accountable for the operating and capital budgets in area of responsibility and ensures adherence to the budget guidelines, procurement code and delivering service on budget. Provides oversight for all PO’s in facility department. Processes vendor invoices through software.  Delegates invoice processing to appropriate facilities departments as needed. 
  • Assists with compliance for Federal, State, local and institution regulations and policies for staff, and visitors.
  • Maintains City, County, and Federal compliance of all site pressure vessels. (steam boilers and water heaters)
  • Assists and coordinates with stakeholders on the execution of all Capital Projects to help ensure project completion on time and on budget with the expected quality. Communicates and works with internal and external stakeholders in a collaborative manner to represent Facility and Services.
  • Assists and cross trains with all Techs for monthly preventative maintenance on all incubators, freezers (-80 oC and -20 oC), and deli coolers.
  • Ensures the development of long-term facilities plans with input from senior leadership and business functions to ensure business needs are met at the right time. Develops intermediate plans as well to ensure smooth transitions as the organization grows and it’s needs change.
  • Coordinates MACS (Moves, Adds, and Changes) with vendors and company stakeholders for all Office and Laboratory moves.
  • Manages Cleaning Services vendor. Plans and coordinates special cleaning requests.  (i.e. floor cleaning and waxing or after construction cleaning) as needed.
  • Manages food service vendors, coffee equipment, filter water, and par stock food supplies. Coordinates repair requests for all food vendor equipment. 
  • Responds to and troubleshoots equipment and building alarms. Maintains end user knowledge of wireless monitoring system software at administrator level. Troubleshoots temperature monitoring software and hardware with established vendors.
  • Manages onsite Security services vendor. Oversees accountability for keycard audits, keycard programing (program cards, doors, and security groups), and Post orders with site security supervisor. Cross trains as end user for all site security software systems (Keycard and Camera software) at administrator/user level.
  • Oversees all annual HVAC Preventative Maintenance and repairs with Facilities Tech and Mechanical vendor.  Oversees generators annual Preventative Maintenance schedule and repairs with Facilities Tech and genset vendor.
  • Coordinate with building owner property management service on all building related repairs they are responsible for, as outlined in the lease. Roof, decks, windows, and grounds related work requests.

 

REQUIRED EDUCATION, EXPERIENCE AND SKILLS

  • High school diploma or equivalent with minimum of 10 years of experience that includes facility services, people management or a combination of both.
  • Experience as a people manager.
  • Organizational and problem-solving skills.
  • Maintains high customer service attributes with contractors, vendors and all internal/external stakeholders.
  • Physical ability to perform non-technical job requirements and may be required to lift, carry, pull or push equipment and or materials weighing 50lbs
  • Ability to climb stairs and ladders, stoop, bend, and kneel
