We're looking for a polished, organized and proactive Administrative Assistant with excellent Outlook, MS PowerPoint, Excel, and communication skills. This position provides professional administrative support to the Brand Leads as well as the Marketing team. To support and improve overall operating efficiency, the individual in this role works under general guidance to plan, prioritize, communicate and organize workloads, and takes responsibility for special projects, as needed, by the department.



  • Proactively manages Outlook calendars for 4 brand leads
  • Effectively coordinates travel arrangements for the 4 brand leads, in line with company travel policy
  • Creates and executes expense reports for the 4 brand leads utilizing Concur
  • Assists brand leads with scheduling weekly cross-functional team meetings, putting together the weekly agenda and distributing meeting notes/action items to the attendees
  • Organizes onsite and offsite meetings, room reservations, video conferencing, and tele-conference calls; organizes meal catering for marketing and brand team meetings, as needed
  • Coordinates interview process for open roles on the Marketing team
  • Acts as point of contact to assist visitors and new employees to the marketing team
  • Processes departmental contracts through the Ariba system
  • Processes purchase orders through the SAP system
  • Processes department check requests
  • Processes charitable donations
  • Maintains and coordinates off-site record management, as needed, including assisting marketing team with handling of marketing materials managed at 3rd party vendor
  • Support ad hoc marketing team projects, as needed
  • Manages departmental logistics: distribute mail, manage distribution lists, organizational charts, orders office supplies and updates the commercial calendar
  • Provides reception desk and other department back-up and/or relief, as required



  • High School Diploma/GED
  • High technical proficiency including MS office
  • 3+ years of administrative assistant support experience
  • High degree of professionalism as the face of the Neuroscience business unit to internal, external and global colleagues and partners
  • Able to handle day-to-day activities in a fast-paced, ever-changing environment
  • Strong planning and problem-solving skills
  • Self-motivated, with excellent time management and organizational skills
  • Able to prioritize work and manage multiple work activities simultaneously, while meeting deadlines
  • Able to anticipate and advise on departmental needs
  • Highly collaborative with the ability to work well in an individual and team environment
  • Capable of setting and accomplishing objectives with minimal supervision, with a high attention to detail  
  • Clear and professional written, oral, and interpersonal skills
  • Able to handle sensitive information with the highest degree of discretion and integrity
  • Proactively identifies and manages work, rather than taking a reactive approach



  • 5+ years administrative assistant experience, ideally with senior executives and their leadership team
  • Administrative assistant experience in pharmaceuticals or related life sciences industry 
  • Proficiency with MS Access
