U.S. Medical Affairs Coordinator works in partnership with US Medical leadership to plan, prioritize, communicate and organize a variety of workloads and special projects. Operations administration will ensure seamless planning and execution of activities, with the highest quality output. A high level of service, accuracy, responsiveness and proactive mindset is expected from the incumbent in this role. The role supports the leadership and Medical Affairs team by providing both operations and administrative assistance with a focus on implementing overall operating efficiencies and compliance activities.



  • Provide operational support to U.S. Medical leadership and Medical Affairs team which includes, but is not limited to:
  • Supports the Medical Lead Team with activities related to planning, organizing, directing and evaluating the coordination of day-to-day US Medical operations and communications
  • Assists in project management of large-scale US Medical initiatives; may own project management and communication plans for smaller initiatives
  • Proactive & effective management of all information assets in support of US Medical cross-functional activities, including coordination of meeting agendas, minutes, materials, & schedules
  • Manages all aspects of logistics of medical activities such as congress symposia, expert meetings, advisory boards etc., including collaboration with Commercial Operations on congress planning and other activities where applicable
  • Liaises with KOLs, external suppliers and medical communication agencies concerning advisory boards, congress symposia and other medical activity programs, presentation and scientific materials
  • Ensure that compliance regulations are observed in connection with activities involving HCPs, including Sunshine Act reporting
  • Manages processing of contracts, purchase orders and invoices, as well as responsible for budget tracking
  • Maintains relevant internal communication channels for medical activities, e.g. Yammer
  • Proactively manages calendar, travel and expense reporting for senior level executives within U.S. Medical Affairs organization
  • Support talent acquisition initiatives (including contractors and consultants) by coordinating interviews and onboarding activities


  • Accredited Bachelor’s Degree
  • 3+ years in a coordinator focused position
  • Proficiency with Microsoft Productivity & Collaboration tools (MS Outlook, Word, Excel, PowerPoint, SharePoint, Teams, etc.)
  • Excellent planning, organization, critical thinking and problem-solving skills with a high attention to detail 
  • Strong time management skills & ability to handle multiple day-to-day activities in a fast-paced, ever-changing environment
  • Highly collaborative with the ability to work well in a cross-functional team environment
  • Proactively anticipates and advises on departmental needs
  • Clear and professional written, oral, and interpersonal skills
  • Able to handle sensitive information with the highest degree of discretion and integrity

  • Experience in pharmaceutical or related life sciences industry
  • Project Management experience



  • Willingness/ability to travel up to 5% domestically. Overnight travel required on occasion.
