We are seeking a highly organized and efficient Office Administrator to join our team. The Office Administrator will be responsible for managing day-to-day administrative tasks, ensuring smooth operations within the office, and supporting various departments as needed. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to multitask effectively.

 

Your new role

 

As an office administrator, you will manage and maintain office supplies and equipment, ensuring all necessary items are stocked and functioning properly. You will coordinate and schedule meetings, appointments, and travel arrangements for employees, handle incoming and outgoing correspondence including emails, phone calls, and mail, and maintain and update office records, databases, and filing systems. Additionally, you will assist with the preparation of reports, presentations, and other documents as needed, provide support to various departments such as People & Communications, Finance, Commercial and Medical with administrative tasks and projects. Ensure the office environment is clean, organised, and welcoming for staff and visitors. You will also assist in the co-ordination of IT, onboarding process for new employees, including setting agenda and providing necessary information, manage and coordinate office events including meetings, training sessions, and social activities, and perform other administrative duties as assigned by management.

 

The role is based in our North Ryde offices, with flexible work minimum three days in the office per week.

 

What you bring to the team


We are looking for a self-motivated, resilient individual who demonstrates a high degree of initiative, the ability to work independently, has a proven track record and experience delivering against objectives. The candidate must have a sense of humour.  The ability to build relationships across all levels of an organisation, and highly developed organisational skills are essential for this role. The successful candidate will ideally have following qualifications:

 

Position Qualifications:
 

  • Proven experience as an Office Administrator, Administrative Assistant, or similar role.
  • Excellent organisational and time management skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent; additional qualifications in office administration are a plus.
