We are now hiring for the role of Assistant to the Vice President, Global Medical Safety to support the VP, Global Medical Safety, as well as our colleagues across our key sites in Denmark, the US, and Singapore.
Your new role
As Assistant to the Vice President, Global Medical Safety, you will provide proactive administrative and operational support to the VP, Global Medical Safety and the Global Medical Safety leadership team. You will coordinate key business processes, including annual wheel activities, meeting and event coordination, calendar management, travel logistics, recruitment, onboarding and offboarding activities, and other day-to-day operational tasks that enable the organization to run effectively. You will also play an important role in supporting budget planning and administration, including purchase order (PO) and internal order (IO) management, invoice processing, cost tracking, accrual support, and follow-up on training, travel, and project-related expenditures.
Key responsibilities:
- Support the planning, administration, and follow-up of the Global Patient Safety budget, including personnel costs, project-related expenses, training, travel, invoices, accruals, and financial reporting.
- Manage purchase orders (POs) and internal orders (IOs), ensuring accurate tracking and timely processing of invoices and payments.
- Provide oversight of departmental expenditures and support budget forecasting and reconciliation activities in collaboration with Finance.
- Coordinate recruitment, onboarding, and offboarding activities, ensuring seamless employee experience.
- Provide operational and administrative support to the VP Global Medical Safety and the GMS Leadership Team, including meeting coordination, reporting, and follow-up of key actions.
- Serve as a super-user for relevant systems and tools.
- Support Senior Vice President Assistant in shared administrative processes and act as back-up during periods of absence.

You’ll be joining Global Medical Safety, a key part of Global Patient Safety, based at Lundbeck’s headquarters in Copenhagen. Our team of around 40 dedicated Safety Leads and Safety Scientists is spread across Denmark, US and Singapore.

Global Patient Safety (GPS) is a Division within Research & Development. Our organisation is built on the backbone of a solid and compliant PV system and includes several functions, i.e. Global Medical Safety, Global Safety Operations and Technologies, GPS Quality and Compliance and GPS Projects & Partnering. We work together as one global team, comprising approximately 100 dedicated colleagues across Denmark, US, and Singapore.
The position is based in Copenhagen, Denmark.
What you bring to the team
In order to qualify for this position, we imagine that you have:
- Experience from working in a similar role supporting a VP or equivalent
- Experience with meeting co-ordination, calendar management and administrative processes
- Experience with planning and follow-up on budgets and a flair for numbers
- Experience from a regulated area in the pharmaceutical industry
- Ability to handle confidential and sensitive information with discretion and sound judgement
- Confidence using digital tools and platforms to manage information and workflows, and an interest in learning new systems
- Strong IT skills, including MS Office, Powerpoint and SAP super-user experience
- A highly organised and detail-oriented approach, with the ability to manage competing priorities, anticipate needs, and create clarity in complex situations
- Fluent communication in English, both in writing and verbally

Annual base salary range: 491 000 - 675 400 DKK gross.
At Lundbeck, we are committed to fair and transparent pay. Please note that the final base salary within the stated range will be based on relevant qualifications, skills, competencies, and level of proficiency as well as internal pay equity.
